We believe that cost and complexity shouldn't be barriers to quality care. Here's everything you need to know about how to pay for services — including insurance reimbursement, ESA funding, and accepted payment methods.

Out-of-network reimbursement

You may be able to get reimbursed — here's how.

As an out-of-network provider, we don't bill insurance directly — but that doesn't mean your insurance can't help. Many plans offer out-of-network benefits that allow you to submit for partial reimbursement after paying for clinical occupational therapy services. We make this easy by providing a Superbill after every session.

Call your insurance first

Before starting services, call the number on your insurance card and ask:

  • Do I have out-of-network OT benefits?
  • Is telehealth covered?
  • Do I need a referral or prior authorization?
  • Are CPT codes 97166, 97530, 97129, or 97535 covered?

Attend your session & pay

Payment is due at the time of service through our secure Healthie portal. Once received, we generate your Superbill automatically.

Receive your Superbill

Your Superbill includes everything your insurance needs: your name, date of service, diagnosis and treatment codes, amount paid, and provider credentials.

Submit to your insurer

Submit through your insurer's portal, by email, or by mail — follow their instructions. Attach any required reimbursement forms they ask for.

Follow up

Keep copies of everything you submit. Follow up within 2–3 weeks if you haven't heard back. Reimbursement is not guaranteed, but many clients receive partial refunds.

Sensory Life Assessment & Wellness™ is an approved Arizona ESA (Empowerment Scholarship Account) vendor. If your child is ESA-eligible, you may be able to use ClassWallet funds to pay for occupational therapy services.

How to pay with ESA funds

Receive your itemized invoice

After each session, an itemized invoice is automatically sent to you via email through our Healthie EHR system.

Log in to ClassWallet

Visit classwallet.com → Users → User Login and sign in to your ESA account.

Select the correct vendor

When choosing a vendor, select the correct listing:

Upload your invoice

Upload the itemized invoice downloaded from your Healthie portal when prompted. This supports your payment request and helps ensure quick approval.

Do you accept insurance?

We are an out-of-network provider and do not bill insurance directly. However, we provide a Superbill after each session that you can submit to your insurance for possible partial reimbursement depending on your plan's out-of-network benefits.

Can I use my HSA or FSA?

Yes — HSA and FSA funds are accepted for occupational therapy services. The Quick Sensory Assessment may or may not be eligible depending on your plan; check with your HSA/FSA administrator.

What is a Superbill?

A Superbill is a detailed receipt that includes your name, date of service, diagnosis codes, treatment codes, amount paid, and provider information. It's the document your insurance needs to process an out-of-network reimbursement claim.

Is reimbursement guaranteed?

No — reimbursement depends entirely on your insurance plan's out-of-network benefits, your deductible, and whether a referral was required. We recommend calling your insurance before starting services to understand your specific coverage.

When is payment due?

Payment is due at the time of service through our secure Healthie client portal. You'll receive an invoice via email after each session.

Book a free 15-minute consultation first. Once you're a client, you'll receive itemized invoices automatically after each session that you can upload to ClassWallet. We're happy to help you navigate this process.

Reduced fee sessions & payment plans

We believe that financial barriers shouldn't stand between someone and the support they need. A limited number of reduced fee sessions are available each week, as well as flexible payment plan options for those who need them.

We operate on a trust and honor system — no proof of income, no documentation, no applications, and no questions asked. If you feel that a reduced fee or payment plan would make services more accessible for you, simply reach out. Your word is enough.
